3 Form declaration for intra-Community trade statistics

The IDEV form declaration for intra-Community trade statistics (where IDEV stands for internet-based data collection of the

statistical offices of the Federation and the Länder) provides declarants with the opportunity to enter in an online form and

transmit their intra-Community trade data. The relevant data are to be declared under the VAT number of the previously

specified respondent (party responsible for providing information). The data on the party required to give information can

therefore not be changed in the declaration form. The code numbers to be entered are indicated in specific lists of codes

which are part of the declaration form. The codes selected from the lists will be automatically incorporated into the form. After selecting the reference year, the relevant items can be entered one after the other. On the "Check" button Check,

the entered data are checked for errors. If required, they can be locally saved. After completing the data entry, you can transmit the data in an encrypted form using the "Send" button Send. After successful transmission, you will receive a transmission report which can be archived via the button "Save receipt on your own PC" Save receipt on your own PC. Transmission reports can be viewed at any time using the button "Load saved receipt" Load saved receipt. About the "Print" button Print to print the data for your records. To compile another declaration, use the button "new" New. Via the "Leave form" button Leave form, the form processing can be terminated and the form will be exited. If required,  use the button "Local backup to save" Local backup to save the items not yet transmitted in a directory. Using the button "Load backup" Load backup, you can reload, supplement and

transmit the data during your next session.

 

If a server or computer failure occurs during data entry or an incomplete declaration form is exited without the logout

procedure having been followed correctly, the IDEV system will provide a server backup of the items not yet transmitted

about three hours later. The backup items can be selected, supplemented and transmitted as usual.

The server backup is available to the declarant until the next successful data transmission. If the data shown have been transmitted in the meantime, the relevant items in the form can be deleted using the "Reset" button Reset and new items

be subsequently added. Or you can open an empty form via the "Open form without loading backup" button Open form without loading backup.

How to proceed

  • Item 1 in the Form declarations does not include any data. You can either (fully) complete the form or reload a previously stored declaration by means of the button "Load backup" Load backup. Click on Insert or Copy in the Form declarations to add

    further intra-Community trade items. Exiting an incorrect or incomplete item is only possible after either correcting or

    cancelling it.

     

  • Over the button "Pattern" can you a new intra-Community trade declaration (position) as sample put on, which is reserved with the data of the position indicated before, without quantity and declared values.

    Over Pattern >> Save, a sample position is stored.

    Over Pattern >> Load, a sample put on before is read in into the current form.

    Over Pattern >> Load as new dataset, a sample put on before is read in into a new position (possible only if the position seized before is error free).

    Over Pattern >> Delete, existing samples are deleted.

     

  • Use the Item box or the relevant arrow buttons to navigate between the item entries to be corrected or cancelled (backward and forward). Exiting an incorrect or incomplete item is only possible after either correcting or cancelling it.

     

  • The data entered are checked by both the client and the server. When intending to exit an item or to transmit information which includes an error, the latter will be indicated by an error and warning message. In that case, the boxes concerned can be accessed for correcting the data.

     

  • Exiting an incorrect or incomplete item is only possible after either correcting or cancelling it. For that purpose, other items can only be accessed in the form of an overview.

     

  • Press the "Send" button Send to transmit the data entered to the server for being checked. By pressing the "Reset" button Reset, the content of the form will be reset to the initial condition. All data entered will be deleted.

     

  • For checking purposes, the form will again be shown on the screen. Press the "Confirm data and submit" button to finally transmit the data. Press the Correction button to reopen the declaration form for further corrections. A transmission confirmation will be displayed which can be either stored or printed.

     

Using the report history provided for Form declarations for intra-Community trade statistics, you can view or correct the data already transmitted. The data can either be displayed in the form of a transmission report or be transferred into a declaration form for the purpose of correcting them. After you have made the necessary corrections, you can transmit the data once again (see chapter 5.3).

RECOMMENDATION

Please enter and transmit your data on a month-for-month basis even if you intend to cover several months at a time. Only in this way it can be ensured that the data will be correctly shown for the individual reporting months in the report history.

CSV imports

It can transfer data be imported in the CSV format into the form provided for Form declarations for intra-Community trade statistics and then be transmitted. Please see the description of how CSV data (only in the German language) are imported into the forms provided for Form declarations for intra-Community trade statistics or Form declarations by third parties for intra-Community trade statistics for both information on the data structure for the supplied standard filter and instructions on how to define your own import filter. Up to 500 items (records) can be imported into the form provided for Form declarations for intra-Community trade statistics. The import file size depends on the content and must not exceed 100,000 bytes. For this reason, the Intra-Community Trade Data Capture Software is in place for CSV imports of more than 500 items. Sending a CSV file via the File declaration for intra-Community trade statistics menu option is not permitted.

3. To exit the form, please always use the button "Leave form" Leave form, because if an incorrect logoff a server backup is available.
